Setting up your appointments module

The first set up your appointments diary, configure your availability and allow patients to book in for services.

To set up your appointments system, first, click on the Appointments section of the menu

When you first click on enter the appointments view, you may see a screen similar to the one below, if you haven't already set up your branch details.

Entering your branch details

To enter your branch details click the "Incomplete pharmacy details" box and the options will pop up as shown below.

Note: Enter your pharmacy email address, not your personal one.

Fill out all of these details:

  • Branch email address

  • Branch phone number

  • Branch street address, including postcode

Once these have been updated, click the "Save" button at the bottom.

This will store the details and you should see the screen update to show your details.

Adding your availability

You should set up your base availability using the table below where you manage services.

To add availability click on the "+" next to the day you'd like to add availability on. When you do, the options below will pop up.

Here you can enter the start time and end time of your availability (e.g. 10am to 12pm).

Once you have done this, you can select the days that are available for appointments during this time (e.g. Monday, Wednesday & Friday) by clicking on the appropriate checkboxes.

Once you have done so, before you click save, your menu should look like this.

Click the "Save" button to add the availability to the diary.

Note: You can add multiple availabilities on the same day e.g. 10am-12pm and 1pm to 4pm.

Once you have entered all the availabilities into your diary, it will look like this.

Appointment lead time

This is the amount of notice the patient needs to give to book an appointment. By default, Clara suggests 30 minutes.

This is likely acceptable for high traffic branches wanting to offer a near-walk-in service. However, you may wish to change this to better suit your branch.

Using the dropdown on the right, you can choose between minutes, hours or days.

Bookable period

This is where you decide how far in advance you'd like patients to be able to book themselves in for services. By default, Clara suggests 2 weeks.

In the majority of cases, this should be fine. However, sometimes you may wish to increase this (e.g. you run a travel clinic and would like people to be able to book in for their travel vaccines several weeks in advance).

Using the dropdown on the right you can choose between days and weeks.

Once you have filled in all of the sections above and set up your availability. Click the "Save" button at the bottom and your diary will be created.

Finalised diary

Once saved, you'll see your diary looking similar to below.

After your diary is set up, you'll want to add some services to it.
